This page lists every piece of information ICIDO collects, why, and how long it is kept. It accompanies the Privacy Policy and Terms of Service.

Required to create an account on this website

Without these, an account cannot be created. An account made in the ICIDO app asks only for an email address and a password, or uses Sign in with Apple; the Privacy Policy lists what it holds.

Every field below is marked optional at registration. Skipping them does not limit your access to ICIDO, and you can add, change or remove them at any time. They are kept while your account exists, or until you remove them.

Created automatically by the account system

Record	Purpose
Account identifier	A generated ID that links your profile and consent records.
Account role	Every standard account is created with the role “User”, granted automatically.
Consent records	Which document versions you accepted, the exact time you accepted them, and the IP address and browser or app the acceptance came from.
Security log	Account events — created, email address confirmed, signed in, a place backed up, published, unpublished or deleted, profile or email preferences changed, consent accepted, password reset requested or completed, account deleted — each with the time and the IP address the request came from. Every attempt to sign in with an email address is recorded too, whether or not it succeeded, with the address that was typed and the browser or app used. Deleted after twelve months.
Sessions	A record of each sign-in session: when it began and ended, the IP address it was opened from, and the browser or app that opened it. Deleted twelve months after the session ends.
Contact record	A copy of your name, email address, country, state or region, city, the first user type you picked, your newsletter choice, and the campaign link you arrived from, if any, kept in our contact list. Deleted with your account.
Registration progress	A saved draft, so you can leave registration part-way through and resume it.

What we never collect

Medical diagnoses, conditions, or clinical records
Disability certifications or assessments
Any special-category health data
Payment or card details — ICIDO is free and takes no payment
Your trails, heat maps or visit history
Camera or LiDAR imagery — if an older version of the app sends a place’s picture, our server discards it as it arrives
Location tracking, or any record of where you go — a place you send us carries one location, stamped once when it was scanned
Contacts, photo library, calendar, or messages
Advertising identifiers, or third-party trackers

Your scans and maps

Everything you create by scanning — maps, tagged spots, rooms, buildings, trails and heat maps — is stored on your iPhone.

Your scanned places leave it only if you sign in and choose to send them to us: by turning on backup, by backing up a single place, or by publishing a place as a code. Each place sent carries its geometry and layout, the rooms and tagged spots in it, the names you gave them, and the location stamped on it when you scanned it. Backup is off until you switch it on. Anyone who scans a code you published can download that place.

Nothing else is kept with it. Older versions of the app also send the picture ICIDO keeps with each place, and our server discards it as it arrives; newer versions leave it out. Your trails, heat maps and visit history, what the camera remembered, and anything you say to the app never leave your iPhone.

You can also share a place yourself as a .spacemap file, which goes only where you send it. The Privacy Policy explains backup, publishing and deletion in full.

Who can see your data

You — all of your own profile, any time, from your account page.
Administrators — your account record (name, email address, country, city, account status and dates), your contact record and the security log, to support you and run ICIDO. Our reports use totals, trends over time and counts by country and region. Access is limited to the people we authorise.
Service providers — cloud hosting and email delivery, processing data only on our instructions.
Nobody else — except that anyone who scans a code you published can download that place. We do not sell data and we do not run advertising.

Control and deletion

From inside the app you can review and edit your profile, change your communication preferences, remove optional information, request a copy of your data, and delete your account. Deleting your account erases your profile, your consent records and every place held for you; anonymous aggregate counts that cannot identify you may remain in our totals.

Changes

If what we collect changes, the version, effective date and identifier at the top will change. If you have an account, the ICIDO app asks you to accept the new version, and nothing waits on your answer.
